It took me at least four days to get all mails from Apple Mail archived; I have around 48.000 valid mails and some 40000 spam/ad mails; Mailsteward archived my 48.000 'real' mails and left the spam mailboxes. MailStward Pro's search options make it easy to find the message you need.
The accounts preference pane is particular useful if you don’t want every email account to be archived. You can select just those needed, and opt to delete email after archiving (I wouldn’t recommend doing this). The other settings relate to viewing preferences, whether you would like to automatically schedule archiving, and how MailSteward indexes various columns to speed up searching.

As e-mail is archived into the database, MailSteward will automatically skip duplicates. An e-mail is considered a duplicate if there is an exact match on the From, To, Date and Time, and the first 500 characters of the body, with an e-mail that is already in the database. This will work most of the time, but sometimes a duplicate e-mail will get through. It is also possible that some duplicates may have gotten into the database because of changes in previous versions of MailSteward. Duplicate e-mails that are skipped during an archive are logged in the "Duplicates Log." Click on Duplicates Log in the File menu to view the list of logged duplicates.
To conclude, MailSteward is a highly helpful OS X application that enables you to extract all of your Apple Mail and Postbox messages, and save them to a local storage device of your choice. As an added advantage, MailSteward is relatively straightforward to use and should not pose any problems for novices.

Since July 2004 I have however completely relied on Gmail. It is an easy way to combine the various e-mail addresses I use into 1 single inbox ( or rather multiple inboxes on the basis of follow-up actions), and it has great tagging, search and filtering so that you never need to file anything or sort into folders. I have used Gmail as my central inbox for everything. Since 2004 I have accumulated about 770.000 emails in 249.000 conversations, for a total of 21GB. Gmail is therefore the largest potential single point of failure in my information processing.
